How it works
From a dropped file to a published post — the whole flow
Seven steps, and only one of them is something you actually have to do more than once: dropping a file. Here's exactly what happens in between.
The flow
Set up once. Then it's automatic.
The first two steps are one-time setup. Everything after that runs on its own, every time you drop a new file.
Connect your destinations
Link Facebook, Instagram, X, and/or TikTok — connect whichever of the four you actually use.
Drop a file
Save a new photo or video into the watched Dropbox folder, from your phone, your desktop, or wherever you already save content.
DropPost detects it
Detection is near-instant. A periodic backstop check also runs in the background as a safety net, so a file is never silently missed.
AI writes the caption
DropPost drafts a caption for the file — informed by your Brand Voice settings (tone, preferred hashtags, example captions) and Brand Mentions (usernames or hashtags to include when relevant), if you've configured them.
Publish, or hold for approval
With Approval Mode off, it publishes immediately to every connected, routed account. With Approval Mode on, it's staged in your Approval Queue for you to review, edit, and Approve or Reject first.
It lands in Post History
Click into it for Post Detail: the real published link for each platform, or a "Retrying" or error status if a platform hiccuped along the way.
What happens if a platform hiccups
If a publish attempt to a platform fails, DropPost doesn't just give up and show you an error. It retries automatically — immediately, a few times in quick succession, and then again in the background for several hours. During that window, Post Detail shows a "Retrying" status, not a failure.
Before every retry, DropPost checks with the platform first to confirm whether the post actually went through, so a slow or flaky response never results in the same photo or video getting published twice. Only once every retry attempt is exhausted does it ever surface to you as an actual error.

A few specifics
What if Approval Mode is on?
Every new post is staged in your Approval Queue instead of publishing right away. You can review the AI-written caption alongside the media, edit the caption, and then Approve or Reject it before anything goes out.
What if a platform fails to publish?
DropPost retries automatically — immediately a few times, then in the background for several hours — before it's ever shown to you as a failure. You'll see a "Retrying" status during that window, and DropPost always verifies with the platform first, so nothing is ever posted twice.
Can I control what gets posted before it's public?
Yes — turn on Approval Mode. Every post is held in your Approval Queue so you can review, edit the caption, and approve or reject it before it publishes anywhere.
What shows up in Post History?
Every processed file, with the real published link for each platform it went to, or a "Retrying" or error status if something's still being worked out.
